Privacy Policy
KCA Lost & Found is a pupil-run lost-and-found notice board for KCA. It is not an official school service unless the school has formally adopted it. This page explains what information it collects and what happens to it.
Who can use it
Sign-in is restricted to KCA Google accounts (@kcpupils.org and @kings.education). Accounts on any other domain cannot sign in or use the board.
What we collect
When you sign in with Google, we receive your school email address, name, and profile picture from your Google account. We also store what you choose to add to the board:
- Found items — the photo, title, description, when you found it, and where you’ve left it.
- Lost requests — a title, description, and roughly when and where you lost something.
- Claims and disputes — your private “why it’s mine” description, recorded together with your email address.
- Responses to lost requests — a photo of the item and where it is now.
How it’s used and who can see it
- Found-item photos and descriptions are visible to all signed-in pupils so owners can recognise their things.
- When you claim an item, your email address is shown publicly on that item. This is deliberate: it’s what keeps the board honest and lets a real owner raise a concern.
- The location of a found item is hidden until someone claims it.
- Proof descriptions (the “why it’s mine” notes) are private — only their author and admins (staff/organisers) can read them.
- Responses to lost requests (photo and location) are visible only to the person who lost the item, the responder, and admins.
Where it’s stored and who processes it
The board relies on a few trusted services:
- Supabase — stores the database and uploaded photos.
- Cloudflare — hosts the website.
- Google — handles sign-in.
- Google Gemini — may automatically check uploaded photos and text to keep content appropriate for school.
How long it’s kept
- Photos of items that have been collected or returned are deleted around 30 days afterwards.
- Open posts that are never resolved are removed after around 7 months.
- Basic records (such as who posted or claimed an item, and overall counts) are kept longer so the board has an accurate history and statistics.
Your choices
You can ask for your posts or your information to be removed by contacting admin@kcpupils.org. Admins can also remove posts. Signing-in details are managed through your Google account.
